Administrator Guide

Welcome to the MarsAI Film Festival administration panel. This guide covers all administrative functions for managing users, films, categories, awards, and jury assignments.

Dashboard Overview

The admin dashboard provides a real-time overview of festival operations:

Users

Total users with breakdown by role (Producers, Jury members)

Films

Total submissions with status distribution (Approved, Pending, Rejected)

Votes

Total jury evaluations across all films

Awards

Number of awards distributed to films

Quick Actions

The dashboard provides shortcuts to:
  • Manage Films: Review and approve film submissions
  • Categories: Configure film categories
  • Award Distribution: Assign awards to selected films

User Management

Access user management from the admin navigation menu.

Creating New Users

Open Creation Modal

Click “New User” to open the user creation form.

Enter User Information

Fill in the required fields:
  • First name and last name (required)
  • Email address (required, must be valid)
  • Password (required, minimum 6 characters)
  • Role: Select Producer, Jury, or Admin

Submit

Click “Create” to add the user to the platform.
The form displays visual role indicators that highlight as you select different roles.

User Roles Explained

  • Can submit films to the festival
  • Manages their own film submissions
  • Views submission status and feedback
  • Badge color: Blue
  • Evaluates assigned films
  • Provides ratings and feedback
  • Participates in voting rounds
  • Badge color: Purple
  • Full platform access
  • Manages users, films, categories, and awards
  • Assigns films to jury members
  • Controls film status workflow
  • Badge color: Red

Editing Users

  1. Click the edit icon (pencil) next to any user
  2. Modify user information in the modal:
    • First name and last name
    • Email address
    • Password (leave blank to keep current password)
    • Role assignment
  3. Click “Update” to save changes
The password field is optional when editing. Only enter a new password if the user needs to change it.

Deleting Users

  1. Click the delete icon (trash) next to the user
  2. Confirm the deletion in the warning dialog
  3. The user will be permanently removed from the system
User deletion is irreversible. Ensure you have confirmation before deleting user accounts.

User Table Features

  • Pagination: Navigate through users with page controls at the bottom
  • Items per page: Adjust how many users display per page (10, 25, 50, 100)
  • Role badges: Visual indicators show each user’s role
  • Display info: Shows “X-Y of Z users” to track your position

Film Management

Manage all film submissions, review content, and control the selection workflow.

Viewing Submissions

The Films page displays:
  • Thumbnail preview: Click to open detailed view
  • Film title and ID number
  • Synopsis excerpt (truncated to 3 lines)
  • Current status badge

Filtering and Selection

Filter by Title

Use the search box to find specific films by title.

Select Films

  • Check individual film checkboxes
  • Or click “Select All” to select all filtered films

Bulk Actions

Apply actions to selected films:
  • Refuse Selection: Reject multiple films at once
  • Select for Voting: Send films to jury evaluation
Bulk actions save time when processing many submissions with the same decision.

Film Details Modal

Click any film thumbnail to open the comprehensive details view:

Left Panel: Media and Information

  • Film poster/thumbnail display
  • Link to uploaded video file
  • YouTube link (if provided)
  • Visual preview of the submission
  • Producer’s name and user ID
  • Film ID for reference
  • Current selection status
  • Contact information
  • Total votes received from jury members
  • Average rating across all votes
  • Individual vote details with jury member names and comments

Right Panel: Film Management

Modify film information:
  • Film title
  • French synopsis
  • English synopsis
  • Admin comment/notes
Click “Save Texts” to update.
  • View current category assignments
  • Check/uncheck categories to modify
  • Films can belong to multiple categories
  • Click “Change Category” to save
Read-only display of:
  • Film language
  • Duration
  • Release year
  • Nationality
  • AI tools used
  • Production type (100% AI or Hybrid)

Film Status Workflow

Control film progression through the festival stages:

Submitted

Initial state when a producer uploads a film.

Assigned

Film is approved and assigned to jury members for voting.Action: Click “Launch Voting” in the film details modal.

To Discuss

Jury votes indicate the film needs further discussion.Action: This status is typically set by jury votes.

Candidate

Film passed jury evaluation and is a candidate for awards.Action: Click “Nominate as Finalist” or use the status dropdown.

Selected/Finalist

Film is selected for the official festival program.Action: Use the status dropdown to mark as selected or finalist.

Awarded

Film has received one or more awards.Action: Assign awards through the Awards management page.

Refused

Film does not meet selection criteria.Action: Click “Refuse Film” in the details modal.
You can use the “Reset Votes + Relaunch” button to clear all votes and restart the evaluation process for a film.

Status Quick Actions

In the film details modal:

Refuse Film

Immediately reject the submission with optional admin comment.

Launch Voting

Approve for jury evaluation (status: assigned).

Nominate Finalist

Promote to finalist status for award consideration.

Reset Vote + Relaunch

Clear all jury votes and restart the voting process.
Use “Reset Vote + Relaunch” carefully as it permanently deletes all jury evaluations for that film.

Category Management

Organize films into categories for easier navigation and jury assignment.

Creating Categories

  1. Click “Add” on the Categories page
  2. Enter the category name (e.g., “Animation”, “Documentary”, “Experimental”)
  3. Click “Create”

Editing Categories

  1. Click the edit icon next to a category
  2. Modify the category name
  3. Click “Save”

Deleting Categories

  1. Click the delete icon
  2. Confirm deletion in the warning dialog
Categories help jury members focus on their areas of expertise and make it easier for viewers to browse the festival catalog.

Award Management

Assign awards to outstanding films and manage the awards ceremony.

Award Workflow Tabs

Candidate Films

Films eligible to receive awards (status: candidate, selected, finalist).

Awarded Films

Films that have already received one or more awards.

Creating an Award

Select a Film

From the Candidate Films tab, click on a film card.

Review Film Details

The modal displays:
  • Film media preview and metadata
  • Voting statistics and jury feedback
  • Current category assignments

Enter Award Name

Type the award name in the input field:
  • “Best Film”
  • “Grand Prize”
  • “Special Mention”
  • “Best Use of AI”
  • Or any custom award name

Create the Award

Click “Create Award” to assign the award to the film.
Films can receive multiple awards. Create additional awards by repeating the process.

Award Statistics

The Awards page header shows:
  • Total awards distributed
  • Number of candidate films eligible for awards
  • Number of awarded films

Voting Statistics in Award Modal

When creating an award, review:

Vote Summary

  • Total number of votes
  • Average rating
  • Vote distribution

Individual Votes

  • Jury member names
  • Ratings given
  • Comments and feedback

Managing Status During Award Process

In the award creation modal, you can:
  • Change voting status using the dropdown (submitted, assigned, to_discuss, candidate, etc.)
  • Mark as Candidate: Promote a film to candidate status
  • Mark as Awarded: Immediately change status to awarded

Viewing Awarded Films

Switch to the “Awarded Films” tab to see:
  • All films with awarded status
  • Complete list of awards for each film
  • Film categories and metadata
  • Delete awards: Click on an award badge to remove it
Deleting an award is permanent. You’ll be asked to confirm before removal.

Bulk Award Management

For candidate films with at least one award, click “Move to Awarded Films” to change the film’s status to “awarded” and remove it from active voting.
The “Reset Awarded Films” button (visible when awarded films exist) changes all awarded films back to candidate status for testing purposes.
This is intended for testing environments. Use with caution in production.
The “Delete All Awards” button removes all awards from the system.
This action is irreversible and intended for testing only.

Jury Assignment

Distribute films to jury members for evaluation.

Assignment Interface

The Jury Management page has two panels:

Left Panel: Jury Members

  • List of all jury users
  • Profile initials badge
  • Name and email
  • Number of assigned films
  • Click to select a jury member

Right Panel: Available Films

  • Films eligible for voting (assigned, to_discuss, candidate, selected, finalist)
  • Film thumbnails and categories
  • Number of assigned juries per film
  • Checkboxes for bulk selection

Assigning Films to Jury

Select Jury Member

Click on a jury member in the left panel. Their card will highlight in purple.

Select Films

Check the boxes for films you want to assign:
  • Click individual film cards
  • Or use “Select All” for bulk assignment

Assign

Click “Assign X Films” in the action panel.Films already assigned to this jury member show a green checkmark badge.
The action panel shows how many films are currently selected, making it easy to track bulk operations.

Removing Jury Assignments

  1. Select the jury member
  2. Check films you want to unassign (look for films with the green checkmark)
  3. Click “Remove X Films”

Category Filtering

Use the category dropdown to filter films:
  • All Categories: Show all eligible films
  • Specific Category: Only show films in that category
This helps assign films to jury members based on their expertise.

Assignment Status

Each film card shows:
  • Number of assigned juries: “2 juries” indicator
  • Green checkmark: Film is assigned to the currently selected jury member
  • Category badges: Up to 2 categories displayed, with “+X” for additional categories
You can assign the same film to multiple jury members to get diverse perspectives.

Best Practices

Film Review Process

Initial Review

Review all submitted films for technical compliance (duration, format, content guidelines).

Category Assignment

Ensure films are properly categorized for appropriate jury assignment.

Jury Assignment

Distribute films to jury members based on categories and expertise.

Launch Voting

Change film status to “assigned” to enable jury evaluation.

Monitor Progress

Track voting statistics and jury participation.

Review highly-rated films and assign awards.

User Management Tips

Role Assignment

  • Producers: For filmmakers submitting work
  • Jury: For evaluators only
  • Admin: For festival organizers (limited number)

Security

  • Use strong passwords (minimum 6 characters)
  • Regularly review user accounts
  • Remove inactive or duplicate accounts

Data Management

  • Regular backups: Ensure platform data is backed up regularly
  • Vote monitoring: Track jury participation and follow up on incomplete evaluations
  • Status tracking: Keep film statuses updated as they progress through the workflow
  • Communication: Use admin comments to communicate with producers about film status

Technical Tips

Pagination Controls

All list views (Users, Films, Categories) include:
  • Page navigation: First, Previous, Page Numbers, Next, Last
  • Items per page selector: Choose 10, 25, 50, or 100 items
  • Display counter: See which items are currently visible

Bulk Operations

  • Select All only affects filtered results, not all items in the database
  • Use filters first, then “Select All” for precise bulk actions
  • Review selections before executing destructive actions (delete, refuse)

Status Indicators

  • Green messages: Success confirmations
  • Red messages: Errors or warnings
  • Messages auto-dismiss after 3 seconds
If a bulk operation fails for some items, the error message will indicate which items couldn’t be processed.

Getting Help

If you encounter issues:
  • Check error messages displayed at the top of pages
  • Verify that required fields are completed in forms
  • Review film voting statistics if status changes don’t reflect as expected
  • Contact technical support for database or system-level issues
